How to Deploy an AI Email Assistant in One Day

A step-by-step walkthrough of the SetupClaws deployment process: from kickoff call to live AI email assistant in under 24 hours. What to expect and how to prepare.

One of the most common questions we hear from prospective customers is: 'How long does setup actually take?' The honest answer: for most customers, their AI email assistant is live and processing real emails within 4–8 hours of the kickoff call. Here's exactly what happens.

Step 1: The Kickoff Call (20–45 Minutes)

Everything starts with a free 15-minute discovery call, which for confirmed customers expands into a 20–45 minute kickoff session. In this call, we cover: your current email volume and pain points, which tools you want the agent to integrate with, up to three workflows you want pre-configured, your security and data residency requirements, and whether you prefer a cloud VPS or Mac Mini deployment.

Step 2: Infrastructure Provisioning (30–60 Minutes)

Once the kickoff call is complete, our team provisions your infrastructure. For cloud VPS deployments, we spin up a dedicated server, harden it with firewall rules, configure Docker sandboxing, and install OpenClaw. For Mac Mini deployments, we image the machine, configure remote access, and harden the OS. The customer doesn't need to do anything during this phase.

Step 3: OAuth and Tool Integration (60–90 Minutes)

This is where we connect your agent to your tools. Using Composio's OAuth middleware, we link your Gmail or Outlook account, Google Calendar, Slack, and any other tools from your requested list. Critically, Composio means your actual credentials are never stored by OpenClaw — only OAuth tokens that can be revoked instantly. We configure each integration with the minimal permissions required for your workflows.

Step 4: Workflow Configuration (60–120 Minutes)

With integrations live, we configure your three pre-built workflows. Common examples include: an email triage workflow that auto-labels, auto-drafts, and surfaces urgent items; a meeting scheduling workflow that handles back-and-forth calendar coordination; and a daily briefing workflow that compiles a 9 AM Telegram summary of overnight activity.

Step 5: Testing and Handover

Before going live, we run the agent in shadow mode — it processes your real data but doesn't send or act on anything. You review its outputs, flag any calibration issues, and give approval to go live. Most customers are satisfied after one or two calibration rounds. We then hand over access credentials and walk you through the control panel.

Most customers use this period to refine their email categorization rules, add additional integrations, and train the agent on their communication style.

After Hypercare

After 14 days, your agent is self-running. OpenClaw is designed to require zero maintenance for routine operations. You can modify workflows, add integrations, or adjust settings through the dashboard at any time.
